Accounting for your shop, with the VAT on foreign sales adding up
Selling online differs from an ordinary business in three ways: the number of documents, the currencies, and the fact that your buyer is often in another country. Each of the three changes how the tax is settled. We keep the books for shops and marketplace sellers so that all three are worked out, not left for later.
- VAT OSS and distance selling into EU countries
- Returns, complaints and corrections without digging by hand
- Multiple currencies and exchange-rate differences
- Sending invoices to KSeF is on our side
Your shop settled, from the order to the return
- 1Sales and VATPeriodic sales reports from platforms and payment gateways, the right rates applied, JPK_V7 filings and the OSS return for sales to consumers in the EU.
- 2Returns and correctionsReturns, complaints and cancelled orders booked in the period where they belong — together with the invoice and tax-base corrections.
- 3Costs and stockStock purchases, platform commissions, shipping and packaging, advertising. Imports from outside the EU with the customs duty and import VAT.
What the service covers for selling online
VAT OSS and selling into the EU
Registration for the OSS procedure, the quarterly returns and watching the distance-selling threshold. Above it, the VAT belongs to your buyer's country — we work that out before it becomes a problem.
Sales from platforms and gateways
Booked from periodic reports rather than one receipt at a time. Commissions, deductions and payouts are settled separately from the sales themselves.
Returns and corrections
The right of withdrawal means a constant stream of returns. We book them in the correct period, together with the VAT and revenue correction.
Stock, imports and the warehouse
Domestic and intra-EU purchases, imports from outside the EU, customs duty and import VAT. A year-end stocktake where your form of taxation requires one.
Currencies and payments
Conversion at the correct rates, exchange-rate differences, deferred payments and settlements with payment providers.
KSeF and invoices
Issuing invoices and sending them to the National e-Invoicing System, including collecting the confirmation — on our side, with no clicking on yours.
Who this service is for
- Online shops on their own software and on ready-made platforms
- Marketplace sellers, including those with stock held by a fulfilment operator
- Mixed selling: a shop, a marketplace and sales over the counter
- Dropshipping and selling goods brought in from outside the EU
- Selling services and digital products to buyers in the EU
In e-commerce the number of documents grows faster than turnover, so we work the price out in the calculator and write it into the contract. Sales booked from a periodic report count as one document, not as hundreds of orders.
See the full price list- It is not clear at which point the VAT on your sales starts belonging to another country
- The platform reports do not match what lands in the bank account
- Returns and corrections throw the following months out
- Commissions and deductions understate the revenue shown in the books
- Hundreds of small documents a month and no time to describe them
From the first call to ongoing bookkeeping
A talk about how you sell
Where you sell, to whom, and where the goods ship from. That decides the VAT — not the size of the business.
Quote and contract
The price from the calculator, with the scope and the deadlines written into the contract. Thirty days to try it.
Taking over and setting up
We agree how the platform and gateway reports reach us, and open your client portal.
Ongoing bookkeeping
We keep the books, watch the deadlines and reply on business days. The returns and JPK filings are on our side.
Frequently asked questions
From when do I have to settle VAT through OSS?
When you sell goods to consumers in other EU countries, a single annual threshold applies, counted across the whole Union together. Below it you settle the VAT in Poland; above it, in your buyer's country — and the OSS procedure then lets you do that with one return instead of registering in each country separately. We watch that threshold as you go and tell you before it is crossed.
Do you book every order separately?
No. Sales to consumers are booked from periodic reports out of your platform or sales system. Invoices issued to businesses, purchase documents and settlements with payment providers come in separately.
What about returns from earlier months?
A return is booked in the period the rules on correcting the tax base point to — we do not reopen closed returns without reason. Where there are a lot of returns, we agree a standing way of reporting them, so it is not a conversation every month.
I bring goods in from China. Will you handle the customs duty and import VAT?
Yes. We settle imports from outside the EU together with the customs duty and import VAT, including the simplified procedure if you meet its conditions. We need the customs documents and your supplier's invoices.
Will you run payroll too, if I hire someone to pack orders?
Yes, payroll and HR are part of the same service — contracts of employment and mandate contracts, ZUS, PIT-11. We charge per person and the rates are on the pricing page.
